1. Who we are

Coaches' Club Academy LLC (“CCA”, “we”, “us” or “our”) operates coachesclubacademy.com. You can contact us at info@coachesclubacademy.com.

2. Information we collect

We collect information you choose to provide, such as your email address when you join our mailing list, create a Pro Pass account or contact us. If you use Pro Pass, we also store the profile choices, saved learning, listening progress, reflections, feedback, notification preferences and membership records needed to provide the service. We may receive basic technical information, including your IP address, browser type, device information, referring page and pages visited.

3. How we use information

4. Legal bases

Where applicable, we process personal information with your consent, to perform a contract with you, to meet legal obligations, or for our legitimate interests in operating, securing and improving CCA. You may withdraw consent to marketing at any time using the unsubscribe link in an email.

5. Service providers and sharing

We do not sell your personal information. Cloudflare hosts application data and private media; Clerk provides account authentication; Stripe processes web payments; Sanity supports editorial content; PostHog provides optional, consented product measurement; Resend delivers requested Coaching Profile and Pro Pass service email and, where you opt in, selected Pro Pass communications; and beehiiv provides our separate public mailing-list forms. These providers process only the information needed for their service on our behalf. We may also disclose information when required by law, to protect rights and safety, or in connection with a business reorganisation.

6. International transfers

Our providers may process information in countries other than your own. Where required, we use appropriate safeguards for international transfers of personal information.

7. Retention and security

We generally retain Pro Pass account and learning data while your account remains active. Invited-alpha product analytics are normally retained for 12 months, unconverted acquisition records for 90 days, and resolved feedback safety records and delivery metadata for up to 24 months, unless a shorter period applies or a legal, fraud, payment or safeguarding reason requires limited retention. Provider backups may preserve deleted records until their bounded backup cycle expires; they are not used for normal operations. We use reasonable organisational and technical measures to protect information, although no online service can guarantee absolute security.

8. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, restrict or object to processing of your information, and to receive a portable copy. You may also withdraw consent or complain to your local data-protection authority. Email info@coachesclubacademy.com to make a request. We may need to verify your identity.

9. Cookies and similar technologies

Our websites use necessary preference storage and, only with your consent, PostHog, Google Analytics and Meta advertising measurement. We may retain a minimised acquisition record linking campaign context, an opaque assessment-result reference, account and subscription identifiers so we can understand the journey and honour valid referrals. We do not send assessment answers, email addresses or names to analytics. You can change your choice using Cookie settings.

10. Children

Our websites are not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided information to us, please contact us.
